US Payroll Specialist, Remote US

Job Overview: 

The Payroll Specialist is responsible for managing the company's payroll system, ensuring accurate and timely compensation for all employees. This role involves processing payroll, maintaining payroll records, and ensuring compliance with local, state, and federal regulations. The Payroll Specialist plays a key role in supporting the finance and HR teams to ensure smooth and efficient payroll operations. 

Key Responsibilities: 

  • Payroll Processing: 

  • Process and prepare accurate payroll on a bi-weekly and monthly schedule. 

  • Review timecards and attendance records to ensure accuracy before processing payroll. 

  • Ensure all earnings, deductions, bonuses, and commissions are properly calculated. 

  • Compliance & Reporting: 

  • Stay updated on tax regulations and employment laws to ensure payroll is compliant with all federal, state, and local requirements. 

  • Review reports prepared by payroll processor for tax filings, wage garnishments, and other required reports. 

  • Respond to inquiries from employees regarding pay, deductions, and other payroll-related issues. 

  • Process journal entries for the weekly payrolls and review and reconcile payroll reports and general ledger accounts.  

  • Record Keeping & Documentation: 

  • Manage payroll reports, including summaries of gross wages, deductions, and tax withholdings. 

  • Prepare and store payroll-related documentation in compliance with legal requirements. 

  • Knowledge of various benefit and 401K plan. 

  • Employee Support: 

  • Assist employees with payroll-related inquiries, resolving discrepancies promptly and professionally. 

  • Provide support to HR with benefits administration, deductions, and other payroll-related issues. 

  • Collaborate with clinic managers and regional relationship directors directly for any questions. 

Job requirements

Qualifications: 

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field preferred. 

  • 3-5+ years of experience in payroll administration 

  • Strong knowledge of payroll software (e.g., Gusto, Dayforce etc.). 

  • Familiarity with tax regulations, wage garnishments, and other payroll-related compliance requirements. 

  • Proficiency in Microsoft Excel and other office applications. 

  • Excellent attention to detail and organizational skills. 

  • Strong communication and problem-solving skills. 

  • Ability to maintain confidentiality and handle sensitive employee information. 

Preferred Skills: 

  • Experience in multi-state payroll processing. 

  • Certification such as Certified Payroll Professional (CPP) is a plus. 

  • Experience with migrating to a new software.  

Working Conditions: 

  • Full-time remote position with standard office hours. 

  • Occasional overtime required during peak payroll periods.
