Practice Manager, Aesthetic Solutions

Summary: Our Practice Manager works directly with the Practice Administrator to oversee day-to-day activities of the practice. The Practice Manager is a member of the leadership team of the practice, working with both the Billing Manager and Practice Administrator.

Reports to: Practice Administrator

Education and Experience:

  • Minimum 2 years experience in private practice office management; medical aesthetics experience preferred.
  • Bachelor’s or Master’s degree in business or health care administration, or equivalent at discretion of the Practice Administrator.
  • Human resource certification or leadership training preferred.
  • Proven experience in personnel management and administration of payroll systems.
  • In-depth knowledge of compliance, personnel law, workplace safety, and other regulatory issues pertaining to a medical practice.
  • Comprehensive knowledge of daily medical practice operations.

Operational Activities:

  • Ensure a fully maximized, efficient patient schedule
  • Maintain strong focus on improving operational efficiency.
  • Ensure the entire team has adequate training to provide outstanding care to patients.
  • Ensure staff compliance with HIPPA, OSHA, etc
  • Perform periodic chart reviews, monitor operations for compliance with protocols and policies. Report deviations to practice administrator.
  • Perform studies/surveys to assess clinic flow and make recommendations to practice administrator to improve practice efficiency.
  • Work collaboratively with the practice administrator to ensure capital equipment is functioning properly – including but not limited to device maintenance and warranty management
  • Facilitate yearly resident rotation schedule for Duke and UNC students

Job requirements

Required Proficiencies:

  • Ability to perform all administrative tasks in practice to allow effective supervision of admin team, and serve as back-up as needed.

  • Ability to effectively sustain multiple, simultaneous tasks while attentive to detail and accuracy.
  • Aptitude in anticipating critical issues and offering solutions to practice owner and staff.
  • Professional appearance and demeanor.

Personnel Management

  • Monitor and manage staffing levels to ensure the practice runs smoothly and efficiently. Work collaboratively with practice administrator to ensure a fully staffed team.
  • Assist in the prescreening, interviewing and onboarding process for new employees
  • Develop and support a healthy team environment among departments.
  • Develop and maintain systems to provide continuing education and certification for clinical providers.
  • Assist staff in resolving escalated patient complaints
  • Maintain employee files and ensure compliance with federal and state human resource regulations.
  • Review timesheets for all employees in Gusto, fix errors as needed, approve bi-weekly timesheets and payroll registers. Ensure proper deductions and pay rates.
  • Approve/Deny PTO requests in accordance with office PTO policies.
  • Manage staff aesthetic allowances via NexSpa.

Regulatory and Compliance:

  • Ensure compliance with regulations, guidelines, and standards of care set forth by state and federal agencies, licensing and accrediting boards;, and professional societies governing the licensure, accreditation, and operation of medical practices and providers.
  • Assure compliance with OSHA and state labor law applicable to medical practices

Other

  • Coordinate with Billing Manager and Physicians for expenses related to professional activities, including arrangements for national leadership roles, professional meetings, teaching and consulting activities, CME, and travel.
  • Distribute monthly inventory sheets to team leaders

Schedule: Monday-Friday, 8:15am- 5pm

Job Type: Full-time

Pay: $62,500.00 - $75,000.00 per year
