Job Posting: HubSpot Operations Specialist 

Location: Remote, Canada (with occasional travel as needed) 

Role Overview: 

The HubSpot Operations Specialist will be instrumental in supporting the sales function for our partner clinics, which includes our call center, clinic reception teams and treatment designers. This role requires a deep understanding of HubSpot to manage, optimize, and improve our CRM and sales systems, enabling seamless operations and ensuring clinics achieve their revenue goals. The ideal candidate is a tech-savvy, detail-oriented professional with a passion for operational excellence and a knack for problem-solving. 

Key Responsibilities 

  • HubSpot Management: 

  • Own the administration of our Sales Hub features in HubSpot including user management, property maintenance, workflows, pipeline configuration, and reporting dashboards. 

  • Continuously improve HubSpot systems to streamline sales processes and enhance user experience for our sales users. 

  • Monitor data quality, ensuring accurate and up-to-date information across the platform. 

  • Sales Process Optimization: 

  • Collaborate with clinic teams and sales leaders to identify inefficiencies and implement solutions that improve the user experience to optimize conversion rates and overall sales performance. 

  • Design and implement sales workflows, playbooks, and automations to reduce friction in the sales journey. 

  • Training and Support: 

  • Provide training and ongoing support to clinic reception teams and treatment designers on HubSpot best practices and new features. 

  • Act as the first point of contact for troubleshooting and resolving technical or process-related issues. 

  • Reporting and Insights: 

  • Build and maintain sales performance dashboards to provide actionable insights to clinic teams and leadership. 

  • Regularly analyze sales data to identify trends, opportunities, and areas for improvement. 

  • Cross-Functional Collaboration: 

  • Partner with Marketing Operations to ensure alignment between overall HubSpot architecture, CRM management, and sales processes. 

  • Work closely with the Growth and Sales leadership teams to support revenue growth initiatives. 

Job requirements

Qualifications 

  • Experience: 

  • 2+ years of experience in a sales operations or related role, with proven expertise in HubSpot CRM administration and Sales Hub. 

  • Experience supporting sales teams in a fast-paced environment, preferably in the medical aesthetics, healthcare, or multi-location industry. 

  • Skills: 

  • Advanced proficiency in HubSpot, including workflows, automation, pipeline management, and reporting. 

  • Strong analytical skills with the ability to interpret data and generate actionable insights. 

  • Exceptional communication and interpersonal skills; able to build strong relationships with stakeholders at all levels. 

  • Highly organized with excellent project management skills. 

  • Bonus: 

  • Experience with other sales enablement tools and technologies. 

  • Familiarity with the medical aesthetics industry or multi-location operations.
